This feature is useful if customers want to order the same goods they purchased from your vinotheque six months ago.

However, not only can orders from the same customers be imported, but also from other customers. For example, I, as your customer, can request the same order as customer Jamie Doe, and you can easily search for that order and import it.

If you would like to create the same order for other customers, you can assign an old order to new customers by clicking on the icon copy order and duplicate it. Only the modalities of the order are copied. The customer file of the original order remains untouched. The new duplicated order can therefore only be assigned to existing customers by clicking on the orange icon with the two sheets of paper.

The Winestro.Cloud order screen offers a wide range of options. Sometimes it is necessary to copy orders and recurring business transactions from customers. To do this, go to the index card of an order and select the copy symbol . You can now specify which customer the new order should be assigned to. The new order is only copied with the article information. Invoices and all other documents must be created again.

When you have finished editing an order and want to prevent other employees of your company from accidentally making changes to the order, go to "Select further actions" and select Lock order . Conversely, you can also unblock the order again afterwards: .

Customer information

Under the icons you can recognise the customer number, name, billing address, delivery address and price group of the customer. By clicking on the customer name, it is now also possible to go directly to the customer index card. Below this is the free text field for individual notes, which you can easily maintain in the order. You can display the price group by clicking on it again. The price category influences which price is automatically preselected for this customer. If the item does not have a price in this price category, the first price category is automatically selected. In this case, a short message about this process appears. There is also a note below this if the customer is in arrears with payment.


Below the note field there are various Assignment options. These may vary depending on which modules you are working with. Use the respective dropdown to assign the order to the appropriate sales channel, a self-defined campaign (e.g. farm festival) or the delivery type, for example.

When you call up order processing, the field for the article number is automatically activated. If you enter a correct article number in this field, the corresponding price is automatically selected for the article and the customer. Now press the Enter key to jump to the Quantity field. Here you can enter the quantity. If you now press Enter again, the article will be inserted, but you can also set a special price beforehand.

If you do not know the article number for an article, click on the Free text article search field to see all articles in the current sales stock and select them individually. The colour codes for the respective article group are now displayed at the front of the Article numbers. In addition, you will now also find information about the availability of the price group and have the option of adding the item to the order using the "green plus symbol". The article groups with a high ranking are displayed first. You can read how to change article groups and their colours and how to set the ranking in the Article group chapter.

In the "Free text article search" field, you can start a text search through your articles. Simply enter parts of the article name in the text field, here you can also see whether the price group is available. It is now also possible to navigate through the article lists using the arrow keys. To add items to the order, click on the green plus symbol. If only one result is displayed, you can also select the item by pressing Enter. In both cases, you can then specify the ‘’quantity‘’ and the price as usual.

In addition, you now have the option to choose between your different warehouses, provided you have entered several in Winestro. You therefore have the option of deciding from which warehouse the entered item should be drawn, with the total stock and the free stock from the selected warehouse being displayed on the top right-hand side. To create a special price for this item, tick the "Special price" box. A new field appears in place of the final price, in which any price can then be selected. You can also change the name of the item or the description (this does not affect the allocation of stock postings). An item discount can be assigned by simply entering the desired percentage. When you have finished making changes, click on Save changes so that your changes are applied to the order.

Under Text you can once again edit all text details for this order individually. The salutation is created from the customer details, the remaining texts are taken from the current "System settings" (unless you are using thecustomised document texts extension). Changes you make here only apply to this order. Alternatively, under "Use and create templates for texts" the changes can be saved as templates or templates that have already been created can be imported.

Here you can change the delivery address and billing address for this order under edit. Please note that a change of address for the customer is not transferred to existing orders. However, you can adjust all order data to the current status of the system by clicking on the customer file example customer.

Dates

You can also change the invoice, credit note, delivery note and delivery date here. Depending on your system settings, the date of creation is used as the fixed voucher date, the setting from this field is used or the invoice date is queried separately when the voucher is created.

Payment details

You can change the Discount and standard payment targets under Payment details. You can also specify here which VAT details should be shown on the invoice. The default setting for VAT and cash discount results from the details you have created for the customer. If you show the VAT as a flat rate, you can still decide whether net or gross prices should be displayed. For example, if you select gross prices, the invoice will show 9.5% VAT, but the gross price of the item will be the same as if it were shown at 19%. You also have the option of inserting a transaction code for PayPal, for example.

Status

Here you can specify which employee is responsible for this order or change the order status manually. You can also make settings for the blocking behaviour and the room order.

Reminder details

Here you can edit the dunning periods and costs for the order again individually. The settings are initially taken from the general dunning settings.

Tickets

The function of the labels offers you the possibility to insert and print shipping labels, letter labels or parcel labels.

Use direct debit

After creating the invoice, you will see the order with the   symbol in the list of unpaid orders. You can now click on it and you will receive a SEPA file that you can import into your banking programme. Alternatively, you can of course also do this manually in your bank's software. Please refer to your bank's instructions for the import procedure in your banking software.

right block

In the "Right block" you will find information on the item stocks in the order as well as all receipts/documents created for the order. If you use our parcel label service, you also have the option of creating the parcel label directly for the current order. Inventory overview

Clicking on "Inventory" opens the inventory management and you get a detailed overview of the inventory. You can also adjust this manually and make a note of reservations, for example. Find out more about en:Stocks here.

The "Wine index card" takes you directly to the overview of the en:Article card.

Vouchers offer you various options for creating voucher files (see ‘Vouchers’ screen)

Once you have created an invoice, you can access it via the corresponding icons Display information, send the invoice by Mail or send it as a pdf. file to the print out.
If you make changes to the order, you can update the invoice at any time using the green arrows and it will adapt to the changes. Documents for an order.


Incoming payment control

You can access the incoming payment control by clicking on the dollar symbol in the button bar. Here you can enter incoming (partial) payments for an order or invoice. This gives you an overview of all payments made in the Receipts statistics. In addition, full payment of the amount automatically moves the order to the paid orders. (en:Order list). You can also mark the invoice as paid without a payment receipt. (Attention - pitfall with taxes!) If you are working with a cash discount, you can also specify whether the invoice was paid with a cash discount. The cash discount amount is calculated automatically from the amount entered in the invoice.

Use direct debit

After creating the invoice, you will see the order in the list of unpaid orders in the drop-down menu with a "DTA bank export" (if the bank data with IBAN and BIC have been properly stored in the customer). You can now click on this and you will receive a SEPA file that you can import into your banking programme. Alternatively, you can of course also do this manually in your bank's software. Please refer to your bank's instructions for the import procedure in your banking software.

Frequently asked questions and problems

SEPA (formerly DTA)

SEPA files for direct debit and texts cannot be mixed. Either enter a SEPA or a text.

Delete order

You can only delete an order as long as no invoice has been generated for it. After that, deletion is no longer possible. You will find the delete icon in the overview list of orders.

No effect of changes to the order / settings

Basically applies: Every time you create a job, the job ‘pulls’ all settings once. This is to ensure that even if you change something, the order always looks the same as when it was created.

Stationery only for e-mails

In general, you can specify in the settings whether the stationery should also appear when printing or only when sending via e-mail. (System / Documents / Invoice / Advanced invoice settings (at the bottom) / Use letterhead only for documents that are sent by e-mail) This can then be customised again for each order in the ‘Settings’ tab. tab for each order.

The number of bottles is not correct!

Make sure that the checkbox for "Include Bottle Count" is checked in the item card. This is often forgotten when creating an order, and positions like vouchers, shipping costs, etc., can also be added here, which do not affect the bottle count. The checkbox must be checked for the bottle count to be accurately summed up in the order.

Assign Order to Another Customer

In the order editing view, you can assign the order to another customer using the dropdown menu and then selecting "Change Customer." By clicking on this, you will access the overview of all customers and can confirm the new assignment.

My Special Item Does Not Appear on the Delivery Note

When inserting a special item into the order, you can determine whether the "Quantity included" option should be checked. If you did not check this box when inserting, the item will not appear on your delivery note. To correct this, delete the special item and reinsert it into the order, ensuring you check the box. Then generate a new delivery note, and the item should appear.
